General Meetings
There shall be an Annual General Meeting held within one month of the beginning of each Association year.
There shall be at least Four General Meetings every year held quarterly.
An emergency General Meeting may be held any time on the decision of the Executive Committee or Chairperson or on demand by at least a third of the members of the association.
Executive Committee Meetings:
The Executive committee shall meet at least once every Month.
The Chairperson may convene a meeting of the Executive committee any time.
Notice for Meetings:
The Annual General Meeting shall require a notice of at least 30 days while Generals Meeting shall normally require a notice of one week.
Executive Committee Meetings shall normally require a notice of three days.
An Adjourned meeting, be it a General Meeting or an Executive Committee Meeting, shall be held on a day and at a time agreed on by that meeting.
Quorum
General Meetings shall require a quorum of a third of the members while Annual General Meeting or a Special general meeting will require a 50% plus one member quorum.
Provided the Chairperson / deputy Chairperson or the General Secretary is present, Executive Committee meetings shall require a quorum of five members.
Voting
Only ordinary members of the Association shall be entitled to vote at any meeting of the Association on any matter.
Voting by proxy shall be allowed provided written notice is sent to the Secretary by the member giving the proxy informing the Secretary to this effect.
